Rostering for shops

Every store covered. One roster.

Club Roster builds the week for each of your stores, checks someone is leading and someone is on the floor every minute you're open, and shows the wages against your budget before you publish.

Free for up to 10 employees. Made in New Zealand. We set your shop up for you.

A week on the staff roster for two stores: cover bars for the lead and the floor at each store, the second store closed on Tuesday, and each person's shifts

Built for shops with a floor to cover

  • Fashion and lifestyle
  • Homeware and gifts
  • Specialty stores
  • Shops with several stores
  • Shops that sell online too

Out of the group chat, onto one roster

Who's opening, who's on the floor, who can swap and what the week costs: in one place, for every store, instead of a spreadsheet and a group chat.

Cover at every store

How many you need in each area while you're open, checked to the minute at each store as you build the week.

Wages against budget

Cover while you're open

Someone leading, someone on the floor

Set how many you need in each area while you're open and the roster checks every minute against it. Openers start before you open, closers stay after you close, and a late start shows up straight away.

  • Your own areas, set up for you: Lead, Floor and Online orders, or whatever you call them.
  • A cover bar for each area at each store, green when it's covered.
  • Openers and closers set in minutes before opening and after closing.
  • Checks for availability, rest between shifts, weekly hours and long runs of days.

Several stores

Every store in one app

Each store has its own opening hours and closed days. Look at all of them together or one at a time, with that store's cover, warnings, hours and wages.

  • All stores, or one, with a single click. Each manager's computer remembers their choice.
  • A weekday closed every week, or a date closed at one store only.
  • One person can work at two stores, and each store's roster shows when they're at the other.
  • A month at a glance for each store, ready to print.
One store's week: closed on Tuesday, and a team member shown as at the other store on the days they work there
One store's month: who leads and who is on the floor each day, with Tuesday closed
Build the week

Next week in minutes

Start from everyone's usual week, skipping the days a store is closed, then drag shifts into place. What needs fixing is listed before you publish.

  • Fill from everyone's usual week, or copy any of the last four weeks.
  • Drag to move, hold Alt to copy, drop on a shift to swap. Undo if you change your mind.
  • Publish, and only the people whose shifts changed are told.
  • See who has looked at their week, and who hasn't yet.
Next week's warnings: an opener starting late at one store, a floor shift with nobody on it, and someone under their guaranteed hours
The team app

Shifts on their phone, not in a group chat

Your team sign in with their email and add the roster to their home screen. No app store and no password.

  • Today's shift with a Start shift button, and the week ahead.
  • Swap, ask for cover or pick up an empty shift, with a manager's OK.
  • Ask for leave and set the hours they can usually work.
  • Shifts in their own phone calendar, kept up to date.

Time and pay

Timesheets that check themselves

Clock-ins from phones are matched to the roster, so late starts, early finishes and missed clock-outs stand out before payday.

  • Approve timesheets one at a time or all at once.
  • Approved hours download as a CSV for your payroll.
  • Unpaid meal breaks taken off shifts long enough to have one.
  • Edit a timesheet, and the change log keeps what it was.

Costs and budgets

Wages against budget, store by store

Every shift is costed as you build. Give each store a wage budget by month and see where the week and the month will land.

  • Green, amber or red against each store's budget while you roster.
  • Last month's wages from clock-ins, against what you budgeted.
  • Paste a year of budgets straight from your spreadsheet.
  • Pay stays private: nobody sees the pay of anyone at their level or above.

Made for New Zealand

New Zealand rules, built in

The roster flags what New Zealand employment law asks of you while you build the week, not after payday.

Public holidays

Every New Zealand public holiday, Matariki and Mondayised days included, with time and a half and an alternative holiday flagged.

Minimum wage

Anyone paid under the adult minimum wage is flagged, and you set the new rate each April.

Guaranteed hours

What's rostered against each person's agreed hours, with a four-week average.

Your house rules

Rest between shifts, weekly hours and days in a row, at the limits you set.

Make it yours

Your shop's name on it

Your own web address, name, logo and colours, on the roster, your team's phones and every email.

The same roster in three made-up shops' colours. Status colours (green, amber, red) stay the same everywhere, because they mean something. See everything you can set

What each person sees

Everyone signs in to the same app and sees their own part of it.

Owners

Every store, every cost and every setting: budgets, pay, who gets access, the change log and backups.

Managers

Build and publish the week for every store, and approve swaps, leave and timesheets, on a computer or their phone.

The team

Their own shifts and the team roster on their phone, with swaps, leave and clocking in.

Questions shops ask

Do staff need to download an app?

No. They open the roster on any phone, sign in with their email and can add it to their home screen, where it works like an app. Nothing to install from an app store.

Can someone work at more than one store?

Yes. Put them on any store's roster. Each store's roster shows when they're at the other one, and their hours count across both.

Can a manager see only their own store?

No. Managers see every store, and can look at all of them together or one at a time.

Does it use our sales, or connect to our POS?

No. Wages are measured against the monthly budgets you set for each store, not against sales.

What about Easter Sunday and the other days shops must close?

You set the days each store is closed, and nobody is rostered on them. Club Roster doesn't work out the shop trading rules for you, because they depend on your shop.

Does it handle public holidays?

Yes. New Zealand public holidays, including Matariki and Mondayised days, are built in, with time and a half and an alternative holiday flagged on the roster.

Does it do our payroll?

No. It exports approved hours as a CSV for your payroll system.

How much does it cost?

Free for up to 10 employees. With 11 or more, $69 a month for each store, plus GST. See the plans.
